The University uses Microsoft 365 (M365), both the web-based and desktop version, as one of its primary productivity, collaboration, and communication tools. M365 includes applications such as Outlook, Word, Teams, OneDrive, and several others. It is installed on computers in classrooms and labs, virtual computer labs, and offices throughout campus. It can also be accessed on individual devices.

  1. Log in to MyÃÛ¶¹ÊÓÆµ and Click the Email icon at the top.
  2. Click the App Launcher icon (9 small squares) located in the upper-left corner and then click the Microsoft 365 icon.
  3. At the upper-right section of the screen, click the Install and more dropdown and select Install Microsoft 365 apps.
  4. From the Apps & devices page, select Install Office and follow installation directions.
  5. Activate using your ÃÛ¶¹ÊÓÆµ email address (Organizational Account).

Bitlocker Notice-Read Before Installing

BitLocker is a Windows encryption function that helps protect your devices. If you are using Windows 10 or 11 Pro or Education on your personal computer, the installer may automatically enable BitLocker when downloading the Office 365 suite. If you disregard or improperly store the BitLocker data recovery key provided after installation, you could be locked out of your device. The only resolution would be to reformat or replace the hard drive and install a new operating system. This issue does not affect Windows 10 and 11 Home users.


Upon installation, complete one of the following options: 

Option 1: Locate your BitLocker recovery key on your Microsoft account 
  1. On another device, go to  to sign in to your Microsoft account using the login information you use to sign in to your personal computer.
  2. Once logged in, your recovery key (a 48-digit numerical password) should be displayed followed by the device that you used to install Office. Take note so you can use the key if prompted.
 Option 2: Disable BitLocker 
  1. In the Microsoft Windows Start Search Box, type Manage BitLocker and select it from the list of results.
  2. Under BitLocker Drive Encryption, next to the drive you enabled BitLocker on, click Turn off BitLocker; or from Privacy & settings > Device encryption
  3. Windows will start a decryption process, which may take a while to complete. You are able to still use your device while the decryption is in effect.

Alumni and Retirees

Although you are blazin' a trail beyond ÃÛ¶¹ÊÓÆµ, you still have access to your ÃÛ¶¹ÊÓÆµ Microsoft email account and online apps in a limited capacity as an alumni and/or retiree.

At any time, alumni and retirees may elect to migrate to a personal Microsoft 365 account or establish an alternate email account. If you no longer wish to maintain your ÃÛ¶¹ÊÓÆµ account, contact ÃÛ¶¹ÊÓÆµ Solutions Center by calling 229.245.4357 during business hours.

Security Standards to Retain your ÃÛ¶¹ÊÓÆµ Microsoft Account

Access may be denied for any user who does not adhere to the following standards:

  1. Log into your  account at least once per quarter.
  2.  at least every 180 days; or as instructed by ÃÛ¶¹ÊÓÆµ Information Technology.
  3. Do not forward your ÃÛ¶¹ÊÓÆµ email account to or from 3rd party applications (ex. iCloud, Gmail, Yahoo, etc.) Read below to learn how to turn off forwarding.
  4. You agree to uninstall all software obtained through ÃÛ¶¹ÊÓÆµ Microsoft Advantage Education Program upon withdrawal/separation, retirement, or end of employment from ÃÛ¶¹ÊÓÆµ. Alumni should uninstall applications after their 1-year access period has ended.
  5. If applicable, complete mandatory Cybersecurity Training.

Accounts are purged if a user sets up email forwarding, does not change password, or does not log in to their ÃÛ¶¹ÊÓÆµ account within designated timeframe. 


Turn Off Email Forwarding

New Outlook and Web Email:

Forwarding Setting:Log in to your ÃÛ¶¹ÊÓÆµ web email or the new Outlook desktop version.

  1. Click the Settings gear icon located in the upper-right corner of your screen.
  2. Under the Mail category, select Forwarding
  3. Delete existing 3rd party email address and then click the Enable forwarding slider to Off (gray circle).
  4. Click Save in the bottom corner.

Rules (Remove rules that forward or redirect emails to another email address):
  1. Log in to your ÃÛ¶¹ÊÓÆµ web email or the new Outlook desktop version.
  2. Click the Settings gear icon located in the upper-right corner of your screen.
  3. Under the Mail category, select Rules
  4. For any rules listed which forward or redirect emails to another email address,  click the Trash Can icon to delete the rule. Next, click OK to confirm deletion of rule. 

Classic Outlook:

In classic Outlook desktop version, email forwarding is typically setup using a rule.

  1. On the File tab, select Manage Rules & Alerts.

  2. Under the E-mail Rules tab, select the 'forwarding' rule you created.

  3. Select Delete > OK.

Answers to Questions about Account Access

Q1. I am a:

 a) I'm a ÃÛ¶¹ÊÓÆµ alum and I’ve had my ÃÛ¶¹ÊÓÆµ email account for years! I received notice that there is now a time limit on when I can keep it. Why is ÃÛ¶¹ÊÓÆµ making this change?  

In a word, security. The landscape of cybersecurity threats is forcing higher education institutions or other governmental agencies to limit their threat exposure by decreasing the number of vulnerable user accounts. ÃÛ¶¹ÊÓÆµ aims to support our alumni while enhancing its security stance and effectively allocating resources.

b) I'm a ÃÛ¶¹ÊÓÆµ retiree. How long do I get to keep my ÃÛ¶¹ÊÓÆµ email account and what software do I have access to?

Retirees may access their ÃÛ¶¹ÊÓÆµ account until notified otherwise. Access is limited to Microsoft 365 Outlook email, Teams web, OneDrive (100 GB), and Office Online web applications.

c) I'm a ÃÛ¶¹ÊÓÆµ alum and retiree. How long do I get to keep my ÃÛ¶¹ÊÓÆµ email account and what   software do I have access to?

Alumni may maintain full access to ÃÛ¶¹ÊÓÆµ Microsoft 365 email, web and desktop applications for one year after graduation beginning Fall 2025. However, as a retiree, you will continue to have email and limited licensing to Microsoft applications until notified otherwise. Alumni and retirees are subject to the same cybersecurity and ÃÛ¶¹ÊÓÆµ email policies. See: What happens if I don’t log in or change my password?

d) I'm a ÃÛ¶¹ÊÓÆµ employee and alum. How long do I get to keep my ÃÛ¶¹ÊÓÆµ email account and what software do I have access to? 

Employees who are also alumni and have recently graduated within the last year prior to separation from the university can maintain full access to ÃÛ¶¹ÊÓÆµ Microsoft 365 email, web and desktop applications for one year. ÃÛ¶¹ÊÓÆµ Human Resources has the final determination and may require the employee to be provided with a different email address.

e) I'm a ÃÛ¶¹ÊÓÆµ employee. How long do I get to keep my ÃÛ¶¹ÊÓÆµ email account and what software do I have access to after I no longer work here? 

Employees who are separated from the university and are no longer affiliated with the university as an active student or retiree will lose access to all email and related services within 30-45 days of separation.


Q2. I don’t plan to use my ÃÛ¶¹ÊÓÆµ email account after I graduate. Can I opt out and request that my ÃÛ¶¹ÊÓÆµ Microsoft account be disabled before the 1-year alumni period is up?  

Yes, we encourage alumni who no longer wish to keep their account to notify   and request that it be deactivated. 


Q3. What happens if I do not log into MyÃÛ¶¹ÊÓÆµ quarterly or change my password after the required 180-days period?   

Cybersecurity and ÃÛ¶¹ÊÓÆµ Email Policy require anyone using a ÃÛ¶¹ÊÓÆµ email account to keep their account current (log in once a quarter), follow notification or instructions communicated by email, change their password, maintain their MFA settings, and not forward their emails to third parties. Failure to follow these policies will result in immediate and irrevocable termination of the account after one year, and the account may be subject to immediate disablement at any time with prior notification.

Q4. What happens if I withdraw from, stop attending, or do not graduate from ÃÛ¶¹ÊÓÆµ? 

After one year of not registering for courses, you become an inactive student. Inactive students can have their accounts disabled and irrevocably terminated at any time after one year of inactivity.
